Privacy Policy

BillingMate (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights in relation to it.

1. Information we collect

When you create a BillingMate account, we collect your name, email address, and password (stored as a secure hash). If you subscribe to a paid plan, your payment details are processed and stored by our payment provider (Stripe) — we do not store card numbers.

We also collect information you enter while using the service: client names and contact details, invoice line items, amounts, and notes. This information is yours and is used solely to provide the service.

We automatically collect usage data such as pages visited, feature interactions, device type, and browser version. This helps us understand how to improve BillingMate.

2. How we use your information

To provide and operate the BillingMate service, including generating invoices, sending emails, and processing payments.

To send you transactional emails (account confirmation, password resets, invoice delivery, and payment receipts).

To send you product updates and feature announcements — you can opt out of these at any time from your account settings.

To diagnose and fix issues, improve performance, and develop new features.

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Data storage and security

All data is stored in Australia (AWS ap-southeast-2 region). We use industry-standard encryption: AES-256 at rest and TLS 1.3 in transit.

Access to production data is restricted to a small number of authorised engineers and is logged. We conduct regular security reviews.

Backups are taken daily and retained for 30 days.

4. Cookies

BillingMate uses cookies to maintain your session, remember your preferences, and analyse usage patterns. We use first-party cookies only — no third-party advertising cookies.

You can disable cookies in your browser settings, but this may affect the functionality of the service.

5. Third-party services

We use a small number of trusted third-party services to operate BillingMate: Stripe for payment processing, AWS for hosting, Postmark for email delivery, and Sentry for error tracking.

Each provider is bound by their own privacy policy and data processing agreements with us. We only share the minimum data necessary for each service to function.

6. Your rights

You have the right to access all personal data we hold about you. You can export your data at any time from Account → Data Export.

You may request correction of inaccurate data or deletion of your account and all associated data. Deletion requests are processed within 30 days.

Australian residents have rights under the Privacy Act 1988 (Cth). If you have a complaint about how we handle your data, contact us at privacy@billingmate.app.

7. Changes to this policy

We may update this policy from time to time. When we make material changes, we will notify you by email and post a notice in the app at least 14 days before the change takes effect.
